Chapter 33 Data Submittal

All observation data (including capture/release and capture-caused fatality data) resulting from work conducted under a Chapter 33 permit issued by the Wyoming Game and Fish Department (WGFD) shall be submitted to the Wyoming Natural Diversity Database (WYNDD). WYNDD operates as a service and research unit of the University of Wyoming, and manages the joint WGFD/WYNDD observation database. All permittees are required to use this template for compiling and reporting those data. The permittee shall submit data to data@wyndd.org as an attachment. If problems are encountered with the template, please contact support@wyndd.org. Data shall be submitted NO LATER THAN JANUARY 31 of the following year for which the permit is valid.
Note that telemetry data obtained from a GPS/satellite collar/receiver unit should not be submitted via the observation template, but must instead be entered into Movebank, a free, online database of animal location data. Please refer to your permit or contact wgf.permitting@wyo.gov for more information about GPS/satellite data reporting requirements and instructions.
Please note the following key changes to reporting requirements from previous years:
- Observation & capture/release data submitted through the Chapter 33 permitting process will be entered into the Wyoming Biodiversity Information System (WyBIS), a database system housed at WYNDD, and managed in conjunction with WGFD. WYNDD provides species and habitat data contained within WyBIS to state and federal agencies, non-profits, private consultants and industry, and other researchers. Permittees who wish to restrict access to their data must do so by selecting the appropriate values in the Record Sensitivity column of the template. Please see the Record Sensitivity tab for more information.
- One spreadsheet shall be submitted per permit. If a permittee currently works under two (2) separate permits, for example, that permittee shall submit two (2) separate spreadsheets.
- All cells shall contain values, where applicable. The permittee shall not leave a cell blank when the value is the same as the cell above, as in previous years. The columns highlighted in red in the template are required, and spreadsheets shall be returned to the permittee if any values are absent from these fields. The required fields are:
- PermitteeName
- Permit ID
- Observer
- Date
- Species
- Data Type
- A count of >0 for at least one sex/life stage combination.
- X Coordinate
- Y Coordinate
- Coordinate System
- Species shall be reported by scientific name, not a common name or code. To reduce taxonomic discrepancies, scientific names used in the spreadsheet must exactly match those provided in this online species list.
- Columns related to counts by sex and age class have been restructured; please make sure you are reporting correctly in the new structure. Columns have also been added to allow the entry of data related to amphibians (e.g., larvae, metamorphs, egg masses).
- A "Detection Type" column replaces the previous "Data Type" column. This provides more specific information about the observation.
- If there are no Tag Numbers, Tag Colors, Collar Frequency, or Animal ID, please leave these columns blank, rather than including a "0", as was requested in previous years.
- Please note that failing to populate columns correctly and completely could result in your spreadsheet being returned to you for modification, and that permits for subsequent years may not be issued until data for the current year have been submitted in accordance with the instructions.
